PHD Only, LLC, doing business as Doctors Only (“Doctors Only,” “we,” “us” or “our”), respects your privacy. This Website Privacy Policy explains how we collect, use, disclose and protect personal information when you visit doctorsonly.com or another website that links to this policy; create an account; apply to participate as a member, mentor or service provider; complete an intake form; register for an event or webinar; request a referral or introduction; receive communications; or otherwise interact with us online (collectively, the “Services”). 

Doctors Only is a trade name of PHD Only, LLC, an independently owned and operated legal entity. In this policy, references to Doctors Only mean PHD Only, LLC unless stated otherwise. Independent mentors, professionals and service providers available through the Services are responsible for their own services and may provide separate privacy notices that govern information they collect directly. 

1. Scope 

This policy applies to personal information handled by Doctors Only through the Services. It does not apply to the independent practices of mentors, service providers, social-media platforms, linked websites or other third parties. If a separate notice is presented when information is collected, that notice controls for the information and activity it covers. 

2. Personal Information We Collect 

The information we collect depends on how you interact with us and may include: 

Information you provide 

• Identifiers and contact information, such as name, email address, telephone number, mailing address, account username and online identifiers. 

• Professional and eligibility information, such as occupation, physician or dentist status, specialty, employer, practice information, professional credentials and National Provider Identifier (NPI) or similar verification information. 

• Profile, membership and application information, including whether you seek to participate as a member, mentor or service provider and information submitted during vetting or onboarding. 

• Needs and preference information, such as topics of interest, professional or business goals, mentorship preferences, requested resources and the type of service provider you wish to meet. 

• Communications and content, including messages, form responses, survey responses, event registrations, testimonials, content submissions and records of your interactions with us. 

• Commercial and transaction information, such as membership status, purchases, payment status and records relating to services requested or obtained through us. Payment card information may be collected directly by our payment processor rather than by Doctors Only. 

• Marketing and consent information, including subscriptions, communication preferences and email or text-message consent records. 

Information collected automatically 

• Device and browser information, including IP address, browser type, operating system, device type, language and approximate location derived from IP address. 

• Internet and network activity, including pages viewed, links clicked, referring pages, dates and times of visits, session activity and interactions with emails or advertisements. 

• Cookie, pixel, tag and similar technology information used to operate the Services, remember preferences, measure traffic, understand campaigns and, where enabled, support advertising. 

Information from other sources 

We may receive information from referral sources, event partners, professional directories and verification sources, mentors, service providers, analytics and advertising platforms, social-media platforms, public sources and other parties as permitted by law. We may combine this information with information collected through the Services. 

Sensitive personal information 

An intake form may invite information about financial, professional, business, legal, tax, insurance, estate-planning or other needs. Do not provide Social Security numbers, financial account credentials, complete account numbers, medical records, patient information or other highly sensitive information through a general website form, ordinary email or mentor message. When sensitive information is necessary, use the secure method provided by the party requesting it. 

3. How We Use Personal Information 

• Operate, maintain, secure and improve the Services. 

• Create and administer accounts, memberships and applications. 

• Verify professional status, credentials, eligibility and identity. 

• Respond to questions and requests and provide requested content or resources. 

• Facilitate mentor matching, introductions and communications. 

• Facilitate introductions or referrals to independent service providers when requested, authorized or reasonably expected from your interaction with us. 

• Review and vet prospective mentors and service providers and support quality assurance. 

• Administer events, webinars, surveys, educational programs and promotions. 

• Send administrative, transactional and marketing communications in accordance with your choices. 

• Measure traffic, engagement, campaign performance and audience trends; personalize the Services; and develop new offerings. 

• Detect, investigate and prevent fraud, misuse, security incidents and other harmful activity. 

• Maintain records, enforce agreements, protect legal rights and comply with legal, regulatory and contractual obligations. 

4. Cookies and Similar Technologies 

We and our service providers may use cookies, pixels, tags, local storage and similar technologies for these purposes: 

• Essential: operate the Services, provide security and remember privacy choices. 

• Functional: remember settings and improve features. 

• Analytics: understand traffic, usage, email engagement and performance. 

• Advertising: measure campaigns and, where enabled, provide or evaluate advertising based on activity across websites or services. 

You may manage nonessential technologies through [COOKIE SETTINGS] or [YOUR PRIVACY CHOICES] on the website and through your browser settings. Blocking certain cookies may affect functionality. Where required by law and supported by our systems, we treat a recognized opt-out preference signal, such as Global Privacy Control, as an opt-out request for the browser or device sending the signal. Because there is no uniform standard for all Do Not Track signals, the Services may not respond to those signals except where required by law. 

5. How We Disclose Personal Information 

We may disclose personal information to: 

• Technology and business service providers that support hosting, cybersecurity, identity or professional verification, customer relationship management, communications, analytics, advertising, payments, document management, events and other operations. 

• Mentors when needed to evaluate or facilitate a requested match, introduction, conversation or program. We will limit the information provided to what is reasonably necessary for that purpose. 

• Independent service providers or professionals when you request, authorize or direct an introduction or referral, or when we clearly disclose that the information will be sent to that party before submission. 

• Referral sources, event partners and other business partners when needed to administer a jointly offered activity or as disclosed when the information is collected. 

• Government agencies, regulators, law enforcement, courts and other parties when required or permitted by law or reasonably necessary to protect rights, safety and security. 

• Parties involved in an actual or proposed merger, acquisition, financing, reorganization, sale of assets or similar transaction, subject to appropriate safeguards. 

• Other parties at your direction, with your consent or as otherwise disclosed when information is collected. 

Independent mentors and service providers may use information received in connection with an introduction under their own privacy practices. Review their privacy notices before providing additional information. 

6. Sale, Sharing and Targeted Advertising 

Doctors Only does not sell personal information for money. Some state privacy laws define “sale,” “sharing” or “targeted advertising” broadly. Depending on the technologies and partnerships used through the Services, disclosures of identifiers or internet activity to analytics or advertising partners may fall within those definitions. Where applicable, you may opt out through [YOUR PRIVACY CHOICES], by enabling Global Privacy Control in a supported browser, or by contacting us. We do not knowingly sell or share for targeted advertising the personal information of anyone under age 16. 

7. Email, Telephone and Text Communications 

You may unsubscribe from marketing emails through the link in an email. We may continue to send nonmarketing messages, such as account, security, event or service communications. We send marketing text messages only with the consent required by law. Consent to marketing texts is not a condition of purchase. Message frequency may vary, and message and data rates may apply. Reply STOP to opt out and HELP for help, or follow the instructions in the message. 

We do not disclose mobile telephone information, text-message originator opt-in data or text-message consent to third parties for their own marketing or promotional purposes. We may disclose that information to providers that help deliver messages, to protect rights and security, or as required by law. 

8. Automated and AI-Enabled Tools 

We may use automated or artificial-intelligence-enabled tools to support research, drafting, matching, communications, service operations, security and customer support. We use such tools subject to safeguards and human review appropriate to the purpose. Do not submit confidential patient information, account credentials or other highly sensitive information to any general chat or AI feature. We do not authorize public AI services to use nonpublic personal information to train public models unless separately disclosed and permitted. 

9. Data Retention 

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including to provide the Services, maintain business and legal records, resolve disputes, enforce agreements, prevent fraud and meet legal obligations. Retention depends on the nature and sensitivity of the information, the relationship involved, operational needs and risk. When information is no longer required, we take reasonable steps to delete, destroy or deidentify it under our retention practices. 

10. Security 

We maintain administrative, technical and physical safeguards designed to protect personal information. No security measure or method of transmission is completely secure, and we cannot guarantee absolute security. Do not send passwords, Social Security numbers, patient information, financial account credentials, trade instructions or other highly sensitive information through an unsecured form or ordinary email. 

11. Your Privacy Rights and Choices 

Depending on where you live and subject to legal exceptions, you may have the right to: 

• Confirm whether we process your personal information and access or know the information we maintain. 

• Correct inaccurate personal information. 

• Request deletion of personal information. 

• Obtain a portable copy of certain personal information. 

• Opt out of sale, sharing, targeted advertising or certain profiling. 

• Limit certain uses or disclosures of sensitive personal information. 

• Withdraw consent where processing is based on consent. 

• Appeal a decision concerning a privacy request, where applicable. 

These rights are not absolute. We may retain information needed to provide the Services, complete a transaction you requested, comply with law, detect fraud or protect legal rights. We may verify your identity and, where permitted, require an authorized agent to provide proof of authority. We will respond within the time required by applicable law and will not discriminate against you for exercising a privacy right. If an appeal is available, our response will explain how to submit it. 

12. California Notice at Collection 

The table below summarizes categories of personal information we may collect, the purposes for which we use it and categories of recipients. We do not necessarily collect every category from every person. Sources may include you, authorized representatives, referral sources, professional directories and verification sources, mentors, service providers, event partners, public sources, online platforms and automatically collected activity. We retain each category under the criteria in Section 9.

California residents may exercise the rights described in Section 11. Doctors Only does not sell personal information for money. If website disclosures constitute sale or sharing under California law, residents may opt out through [YOUR PRIVACY CHOICES] or Global Privacy Control. We use sensitive personal information only for reasonably necessary and permitted purposes unless a separate notice states otherwise. 

13. Additional State Information 

Residents of states with comprehensive privacy laws may have the rights described above, subject to applicability thresholds and exemptions. California residents may also request information about certain disclosures for third parties’ own direct marketing under California’s Shine the Light law. Nevada residents may submit a verified request to opt out of a covered sale. We do not currently sell covered information as “sale” is defined by Nevada law. Submit these requests through the methods in Section 11. 

14. Children’s Privacy 

The Services are intended for adults and are not directed to children under 18. We do not knowingly collect personal information online from children under 13. If you believe a child has provided personal information through the Services, contact us so we can review and take appropriate action. 

15. Third-Party Sites and Services 

The Services may link to websites, platforms or services operated by third parties. Their privacy practices are governed by their own notices, not this policy. Review those notices before providing personal information. 

16. United States Audience 

The Services are intended for a United States audience. If you access them from another country, your information may be transferred to and processed in the United States, where privacy laws may differ. 

17. Changes to This Policy 

We may update this policy to reflect changes in our practices, technologies or legal obligations. We will post the revised policy and update the effective date. We may provide additional notice when required by law.
